    The Billing Specialist is responsible for compiling data and preparing invoices and bills.  This position posts transactions to the system and answers customer questions about their billing.


    • Reads computer files or gathers records such as purchase orders, sales tickets, and charge slips, to compile needed data.
    • Prepares invoices, listing items sold, amounts due, credit terms, and dates of shipment.
    • Submits bills to clients.
    • Processes credit memos.
    • Provides information to the sales department and districts as requested.
    • Prepares credit memorandums to indicate returned or incorrectly billed merchandise. Prepares credit forms for customers or finance companies.
    • Posts transactions to accounting records such as work sheet, ledger, or computer files.
    • Perform daily financial transactions with includes classifying, computing, posting, verifying, and recording accounts receivable data.
    • Verify discrepancies by clients and resolve their billing issues.
    • Send bill reminders to clients regarding outstanding issues.
    • Assists on ad-hoc projects as needed.


    • One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
    • Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
    • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
    • Knowledge of Accounting software; Database software; Internet software; Inventory software; Spreadsheet software and Word Processing software.
    • While performing the duties of this Job, the employee is regularly required to sit. The employee is occasionally required to stand and talk or hear. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision and ability to adjust focus.
